WSP is one of the world’s leading engineering professional services consulting firms, with 34,500 staff, based in more than 500 offices, across 40 countries. In the UK, WSP’s 5,200 people provide consultancy services to all aspects of the built and natural environment, working with governments, planners, developers and architects.

Challenge

WSP | Parsons Brinckerhoff were moving to their new HQ building in London. This was considerably bigger than their previous workplace, comprising of 58,000 sq. ft.
Prior to the move, WSP | Parsons Brinckerhoff were facing huge problems with room bookings. They had no room booking system in place – all bookings were managed using spreadsheets, which was time consuming and confusing for administrators, and frustrating for employees. The utilisation rate of their meeting rooms was just 40%.

People had no freedom, having to request all bookings, visitors and additional requirements such as catering, through the administrators. As the room booking process was so complicated, employees regularly found themselves being bumped out of rooms due to double bookings or mistakes.

Solution

Condeco’s meeting room booking software allowed employees to book and manage their own meetings, relieving administrators from dealing with endless booking requests. Additional catering, visitors and equipment could be booked within the same booking form, saving a tremendous amount of time. To simplify further, WSP | Parsons Brinckerhoff installed Condeco’s MS Outlook add-in, so meetings could be booked directly from the Outlook calendar.

To help reduce meeting room no-shows and prevent confusion, Condeco’s meeting room screens were installed outside of each meeting room. Alongside this solution, WSP | Parsons Brinckerhoff could better manage their desk space with Condeco desk booking software. These integrated solutions allowed greater control of the workspace, and created a fuller picture of how it was being used.

Condeco has now been installed all over the UK, in eight different WSP | Parsons Brinckerhoff offices. To date, Condeco manages 763 desks and 84 meeting rooms. This number continues to grow as the business adapts, and office spaces expand accordingly.
