About the User Data Collection (UDC)

Use the User Data Collection spreadsheet to collect all your user data and submit it to Condeco to upload straight into your Condeco cloud.

When entering user data you must adhere to these rules to ensure a successful upload:

  • The User Data Collection sheet supports the extended ASCII character set excluding commas ( , ).
  • Do not enter commas ( , ) on the User Data Collection sheet.
  • The Country, Location, and Group names must be identically and accurately entered.

Good to know

  • Only users with usernames that do not already exist in Condeco are created when the User Data Collection sheet is uploaded.
  • If the username already exists in Condeco, the existing account is updated with the information provided on the sheet.
    • Existing permissions are not updated.
  • The Country, Location, and Group data entered in the User Data Collection sheet must already exist in Condeco.
  • Non-mandatory columns can be left empty, however, any data entered must already exist in Condeco.

Enter your data

There is only one sheet to complete and the text of the mandatory columns is highlighted in red on the sheet and with an asterisk ( * ) in the table below. At Condeco we use the same User Data Collection sheet for all our booking solutions so you may see columns that are not relevant for your booking solution, these can be ignored.

*Mandatory fields

Column Description Additional information
*FirstName Enter the user’s first name.
*LastName Enter the user’s last name/surname.
*UserName Enter the user’s username for Condeco. If SSO is enabled, the username must be identical. If the username already exists in Condeco, the account is updated with the information provided here, with the exception of the User Access Level which is not updated.

If the username does not exist, a new account is created and the information provided applied.
*Email Enter the user’s email address.
*User_DefaultCountry Enter the country where the user is located. The country must already exist in Condeco.
Room_DefaultCountry Enter the default country to be set when searching for meeting spaces. The country must already exist in Condeco.
Room_DefaultLocation Enter the default location to be set when searching for meeting spaces. The location must already exist in Condeco.
Room_DefaultGroup Enter the default group to be set when searching for meeting spaces. The group must already exist in Condeco.
Room_DefaultFloor Enter the default floor number (not the name of the floor) to be set when searching for meeting spaces.
Desk_DefaultCountry Enter the default country to set when searching for personal spaces. The country must already exist in Condeco.
Desk_DefaultLocation Enter the default location to set when searching for personal spaces. The location must already exist in Condeco.
Desk_DefaultGroup Enter the default group to set when searching for personal spaces. The group must already exist in Condeco.
Desk_DefaultFloor Enter the default floor number (not the name of the floor) for searches
GroupForPermission Enter the name of a group to grant the user explicit permissions to. The following permissions are applied:
  • Can view
  • Make bookings
  • View other users’ bookings
The group must already exist in Condeco.

To add additional groups, add a new row to the DCS and copy all other column information for the user.

Permissions are not changed for groups that existing users already have applied to their accounts.
*IsSSObasedusers Enter Yes if SSO is in use.
Enter No if not.
For non-SSO users, the password is set to default, and users are forced to change on first use.
*UserAccessLevel Enter the access level for the user. Choose from the following:
  • User
  • Global Admin
  • Group Admin
  • Location Admin
  • Country Admin
  • Video Admin (n/a for personal space booking solutions).
The current access level applied to an existing user account will not be updated.

Default Language Enter the default language for the user.
Department Enter the user’s department.
Cost code Enter the user’s cost code.
Phone Number Enter the user’s telephone number.
Ext Enter the user’s telephone extension.
Mobile Number Enter the user’s mobile phone number.
Team Enter either A or B to assign the user to a team (if in use). Learn more about Teams here.
