Initial search

Once you have logged in, you will be asked to set your default location. This can be different to the default location in your Condeco web profile. Your default location will be used to search for rooms automatically next time you open the add-in, however it can be changed at any time.

  1. Set your default country, region, location and floor.
  2. Choose your preferred group.
  3. Click Find room.

Available rooms in your preferred group are shown first. Available rooms in other groups on the same floor will be listed after.

Adjusting the number of attendees manually

The results list will show rooms based on the number of invitees in your Outlook appointment, including you in the total. You can adjust the number of attendees manually if this is not correct.

  1. From the results window, click Edit.
  2. Adjust the number of attendees by clicking or +.
  3. Click Done.

Changing the search location

  1. From the results window, click Edit.
  2. Change the country, region, location, floor and preferred group to your requirements.
  3. Tick Save as my favourite if you also want to update your default location and preferred group to this selection.
  4. Click Done.

Alternative times

If there are no rooms available that are suitable, the add-in can also suggest alternative times.

  1. From the results window, click Alternative times.
  2. A count of how many rooms are available will be shown in a list of suggested times.
  3. Choose the time that suits, click Show earlier or Show later to adjust the search period.
  4. If you Add the room, the date and time of the appointment will be updated automatically.

You can adjust the date and duration if necessary, just click Refresh results to update the results below.
