A cleaning workflow is automatically applied to desks to ensure they are always clean for the next occupant, but not cleaned unnecessarily when a desk is booked by the same user for multiple days. The assigned cleaning vendor monitors cleaning tasks in real-time on the Vendor Dashboard.
The cleaning workflow is set in motion when a desk is booked. Cleaning is scheduled for the close of business on the last day of the booking (desk status is Awaiting Cleaning) therefore if a desk is booked by the same employee for three consecutive days, cleaning is scheduled for the end of the third day. However, if a desk is booked by different employees on consecutive days then cleaning is scheduled for the end of each day, so the desk is always clean for the next occupant. In the event of a desk booking being released, deleted or bumped, the desk is scheduled for immediate cleaning so it can be made available for another booking.
Desks in an Awaiting Cleaning state can be marked as Clean manually by the cleaning vendor on the Vendor Dashboard, or if your vendor contacts do not access the Vendor Dashboard, desks can be automatically marked as Clean before the start of the next day (currently 4am).
If the desk status is managed by the vendor on the Vendor Dashboard and a desk is not marked as clean by the cut-off time (currently 4am), the desk remains in Awaiting Cleaning state. Any bookings for the following day are canceled and the user notified by email and advised to select another desk or work remotely.
Cleaning tasks can also be created manually and in these cases, the cleaning task is scheduled immediately.
