Booking a desk

You can book desks up to your monthly or weekly allowance if applied and in areas that you have been granted access to. On the web, you can book desks directly from the booking grid or via the Find a Desk feature.

Find a desk

  1. Go to Desk Booking and click Find a desk.
    1. If you do not have a default desk location and group saved in your profile, you will be prompted to set one before continuing.
  2. If required, change the Country, Location, Group and Floor you wish to search. If your organization has applied Restricted Groups you may not be able to change these settings.
  3. Select the dates to search (click again to deselect). Click All to select all dates in a week or None to clear the selection. The remaining allowance is noted above each week which adjusts as dates are selected.
  1. Scroll to the bottom of the page and select any required desk attributes then click Find a desk.
  1. The floor plan opens showing desk status with color-coded icons indicating if a desk is available, available and meeting selected attributes, closed, booked or awaiting cleaning. Hover your mouse over a booked desk to show the name of the occupant (unless the occupant has disabled visibility in their profile).
    1. Click the List tab to view the available desks in a list. A green star highlights desks meeting the required attributes.
  1. To book a desk, click an available desk on the floor plan or click Book from the list.

Booking grid

  1. Go to Desk Booking and click Booking Grid.
  2. Select the Country, Location, Group and Floor. If your organization has applied Restricted Groups you may not be able to change these settings.
  3. Desk status is shown under the desk name. Desks that are already booked are blocked out on the grid and depending on the Group settings, may display the occupant’s name.
  1. Click a date you wish to book then on the desk booking form, click additional dates to extend the selection if required.
  1. Click Save and Close.
