Ricoh was able to prove that they could utilize the space in their Bristol office more efficiently. As a result of Condeco’s Sense study they made a space saving of up to 50%.

Ricoh is a global technology company specialising in office imaging equipment, production print solutions, document management systems and IT services.

Challenge

Ricoh were looking to transform their workspaces and as the lease of their Bristol office was due to expire, they took the opportunity to assess the current property and its footprint. The current building had been in Ricoh’s portfolio for a number of years and worked well, but did not easily foster the organisations vision of innovation, collaboration or staff mobility.

In order to successfully utilize the space and develop the workspace envisioned, Ricoh needed the facts and figures to successfully plan the office space required and to reconfigure it in the most efficient way to enhance productivity and streamline operations.

An exercise was undertaken to record the building usage during different times of the day by random sample. This number was compared with the number of people registered with HR and with IT to define the average utilization.

The information gathered from the exercise was not reliable enough to convince senior management about the relocation, a more accurate study was required.

Solution

Ricoh decided to explore Condeco Workspace Occupancy Sensors as a solution. Condeco’s sensor study would allow Ricoh to measure the utilization of all the meeting rooms and desks within the building.

Condeco sensors were placed in each of the meeting rooms to measure the utilization and occupancy of each room. They were also placed under each desk to gain an understanding of how utilised the office was day by day. Each of the sensors collected data every minute to paint an accurate picture of how utilized each of the rooms and desks were.

The sense data was presented through the Condeco Sense portal, which allowed Ricoh to go online and see the actual usage of each room and desk by day, week or month.

The meeting room data demonstrated that on average the rooms were only utilized 39% of the time. It revealed to the business that the largest room that seated ten people was usually only occupied by three or less people. Quite often only one person was using the room for the entire day presumably as an office, which illustrated that the new workspace required more small private areas.

The desk data captured by Condeco Sense also indicated low average desk utilization of below 30%, with busiest periods peaking at 51%. The data revealed that 58% of their desks were used under 20% of the time throughout the study. This highlighted the need for Ricoh to transform the space in order to utilize their resources more efficiently.

Results

Condeco helped Ricoh to:

  • Create annual space savings of up to 50%
  • Provide insight in to the usage of certain areas and what types of workspaces were needed
  • Relocate to a smaller site and reconfigure the space for employees
